Job Description

FillTech USA LLC (“FillTech”) is excited to recruit a full-time Purchasing Manager / Warehouse Manager to join its growing team on-site at company headquarters.

Company Overview

* FillTech is a contract manufacturer delivering exceptional formulation and manufacturing services to emerging and established personal care brands, major retailers and distributors. The company has a 25-year history of converting the innovations of its customers into finished branded products that are ready to be sold through various channels to end user consumers.

* FillTech creates solutions for lip care, sunscreen, hand sanitizer, topical ointments, hair care, pet care as well as lotions, gels and cremes for many uses. FillTech operates 12 manufacturing lines allowing product formulations to be hot- or cold-filled and labeled into all major packaging categories including bottles, sticks, tubes, tins, jars, packets and Bag-on-Valve aerosols. FillTech customers work closely with an in-house Research and Development laboratory and an amazing team of chemists to develop pioneering solutions to consumer needs.

* The work of FillTech is created in a FDA registered facility and monitored by a deep bench of Quality professionals to ensure compliance with mandated cGMP. For global customers, the company is cleared by Health Canada and other offshore regulators. In addition, FillTech successfully completes regular quality and safety audits by its customers. Many customers, and all of the largest ones, have worked with FillTech for nearly a decade. FillTech has grown primarily through referrals from existing customers.

* The success of FillTech over two decades is the result of deliberately providing on time delivery of quality products to our customers that are compliant with all applicable regulations and safety guidelines. From the production floor to senior staff, FillTech team members participate in a respectful and encouraging culture in service of each other and our customers.

* FillTech is operated by a team of 160+ employees between 2 shifts and utilizes the Aptean ProcessPro ERP system. FillTech is majority owned by a small group of individual private investors and management.

* Founded in 1995, FillTech has grown over the years and moved into its current facility in 2018. The plant and headquarters location is near Rockwell, NC which is 20 minutes East of Salisbury, NC. Salisbury is approximately 40 minutes North of Charlotte and 50 minutes South of the Greensboro/Winston Salem area. Many of its team members commute from the Northern suburbs of Charlotte including Huntersville, Mooresville, Concord or Salisbury.

* Compensation for this full-time position will include a competitive base salary, health/vision/dental insurance and PTO benefits. FillTech aims to establish a 401k plan in 2024.

POSITION DESCRIPTION

FillTech USA is searching for a talented Purchasing Manager to lead our procurement and supply chain team. The position will report to the Vice President, Manufacturing.

The Purchasing Manager is responsible for managing a broad, high-level approach to sourcing, incorporating business objectives and maximizing vendor value including the sourcing and procurement activities for the assigned direct materials categories of spend. Experience within the OTC/ Pharma manufacturing industry is not essential, however, ideally FillTech is searching for someone with strategic experience in a highly regulated, such as FDA, USDA, etc., industry (i.e., pharma, packaging, food, chemicals, automotive).

Responsibilities

  • Develop a data-driven comprehensive supply chain plan to eliminate redundant processes, execute strategic cost reductions, maintain purchasing and inventory controls, and optimize economic order quantity levels.
  • Interact with operations, sales/product development (R&D), inventory management, warehouse, transportation to identify sourcing needs and implement strategies to ensure an effective and efficient process from purchasing products to delivering to customers.
  • Establish common purchasing standards, research to develop robust bidder lists, formal bidding processes, reviewing submitted request for proposals (“RFP’s”), working to select preferred providers, awarding work, etc.
  • Maintain accurate materials cost and other data daily/weekly in the ERP system.
  • Conduct monthly performance analyses to ensure that forecasts and schedules are aligned and integrated. Execute demand flow verification processes and engage in short and long-term planning.
  • Work within budgeted parameters of sales, gross margins, inventory levels, turns, other expenses, and select KPIs. Support growth objectives through the reporting of concise, actionable metrics and maintain a total cost perspective with a lean manufacturing mindset.

Inventory and Warehouse Management Responsibilities

  • Manage inventory and execute purchasing decisions to optimize the highest potential sales rates, maintain target customer service levels, operate within warehouse space capacity, delivery capacity, and customer expectations, labor expense, and other business aspects.
  • Manage order replenishment quantities, shipment delivery locations, and stocking levels. Collaborate with Product Management, Sales and Marketing on opening order new product and launch quantities.
  • Ensure inventory levels are ‘right sized’ for the business across its distribution center and warehouse locations, including inventory turns targeted objectives.
  • With Product Management and Operations, routinely review inventory and SKU sales rates to discount or otherwise adjust. Reduce product obsolescence through these reviews and repositioning/re-balancing efforts.
  • Conduct regular risk assessments on supply trends, demand factors, at-risk product mitigation, consumables shelf-life, and aged inventory.
  • Propose warehouse strategic and operational decisions to optimize 1) Space investment, capacity, and utilization; 2) Labor efficiency, delivery capability, and cost; 3) Quality of shipments, safety, and other business aspects.
  • Work with VP, Manufacturing to implement strategies to improve service quality, employee efficiency, equipment performance, interdepartmental communication, and ABC analysis and stocking strategies.
  • Generate daily, weekly, and monthly reports with actionable data and insights regarding current stock levels by category and location, slow moving and obsolete inventory, and other warehouse data to improve communication, quality, and customer service standards.

Transportation and Freight Responsibilities

  • Work with Operations to provide data to manage inbound, outbound, and transfer freight processes and design by supplier; optimize shipping routes to benefit from lowest cost options available.
  • Work with Operations to negotiate contracts and rates with shipping lines, freight forwarders, customs house brokers, and 3PL providers.
  • Ensure appropriate import/export compliance procedures are followed by employees and contracted service providers.
  • Become familiar with relevant U.S. Customs and Border Protection practices and the U.S. Export Administration Regulations.

Purchasing and Supplier Communication Responsibilities

  • Work with Sales, R&D and Product Management teams to execute key vendor supply chain strategies and improve communication and purchasing planning with suppliers.
  • Ensure that information on product availability (both current and projected) is accurate, well organized, and communicated to Quality, Sales, Customer Service, Warehouse/Delivery, and end customers, as appropriate.
  • Ensure suppliers meet delivery and other performance requirements.
  • Become familiar with major suppliers’ manufacturing and transportation systems and infrastructure, and use this information to track, report, and maximize supplier performance.
  • Coordinate with Product Management team to negotiate pricing with suppliers when applicable and work to bring down overall COGS without compromising product quality, key supplier relationships, or service levels.
  • Provide relevant data and analysis to sales Product Management team to consolidate purchasing within supplier base.

Qualifications

  • Minimum 5+ years strategic sourcing (supply chain procurement/purchasing) experience.
  • Experience in the manufacturing industry desired but not required.
  • Bachelor’s degree in Business Administration, Supply Chain, Finance, or related area.
  • Proven track record of ability to match suppliers with internal requirements.
  • Experience in distribution, purchasing, warehouse management, transportation and/or

inventory management is required.

  • Experience in a regulated (FDA, USDA, etc.) industry desired but not required.
  • Strong negotiating skills.
  • Experience using complex ERP systems (Aptean Process Pro a plus, but not required).
  • Strong problem-solving skills, communication skills and ability to act as a change agent.
  • Experience with broad SKU offerings (10,000+) and international purchasing is desirable.
  • Proficiency in Microsoft applications (Excel, Word, PowerPoint, Outlook, SharePoint).
  • Certifications such as ISM or APICS – CPIM, CSCP, CPSM, CPPM, etc. desired but not required.
